Enjoy this week’s guest post by Katelyn Patton and make sure you’re creating a high performance office.
Without a high performance office, you will hit a ceiling in your business. It’s just not possible to build a million dollar business without certain things in place to get you there!
So…what’s the first step?
Systems. More specifically, determining what systems you even need to put in place.
What do you think when you hear the word “system?” Does it stress you out or do you feel relaxed?
There are some systems that virtually every business needs. Client management, lead management, social media, etc. Then there are those that you need but others don’t. I run a business that is almost entirely virtual so I don’t need a system for tracking inventory, but maybe you do.
Take a moment and think about what systems you have in place.
Why systems are VITAL
Systems, while they can be a real pain to get set up properly, are the ONLY way your business will grow and scale without you losing your mind or having to hire a huge team.
A properly implemented system will take things off the plate of you and your team. Those tasks that don’t get removed from your list, will become seamless and easier to achieve. THIS is the secret to business owners who seem to have all their stuff together! They have systems that support them!
When you are having an unproductive day or take vacation, systems are what keep your business moving forward without you. Sure, they can’t do everything you do, but they can definitely make sure your business doesn’t just drop off the map for a week around Thanksgiving and Christmas. They can also help prevent the post-vacation overwhelm that you often feel after “ignoring” your businesses for a few days.
What systems do I need?
Now that we know why systems are important, how do we determine what systems we need to implement? Or better yet, which systems we currently have that aren’t actually working FOR us?
Let’s start by doing just a quick brain dump. Pull out a piece of paper and quickly jot down what systems you either know you need to get in place or know need to be improved. Drop a comment below to help others brainstorm, too.
Now that you have that list, the next step is to prioritize it. Which of these systems is causing you the most grief in your business? If you don’t have a good system set up for gaining and nurturing leads, you likely need to start there since that’s where your clients are going to come from.
Once you’ve chosen a system, it’s time to write out the steps involved. Let’s stick with the leads system.
- You need something that attracts them – where are they going to go once they’re attracted? FB page, email list, etc.
- You have a new lead! – Now what? They join your email list and get an autoresponder with the freebie they want.
- Now that they have the freebie, how are you going to keep them interested and learning about you and your expertise? What does your nurture sequence look like?
- What day and time are they going to receive your normal newsletter to keep them educated and up to date with what you know and what you’ve got going on?
At this point, you’re likely stressing a little looking at the list of all of these steps. I get it. It sounds overwhelming and it will be, if you try to get it all put together today! Do NOT try to do this all at once! All I want you to do today is to pick ONE system that needs work and write out what that system needs to look like. What are the steps?
Write them out today and then set it aside and come back to it tomorrow to see if it needs any tweaks. If you want a second pair of eyes on it, send it to me or another trusted business mentor to take a look.
What’s it mean?
The point of this post is to simply make you aware of your next step. Depending on the system, it will take a week or more to get it fully implemented. While systems are vitally important, if you rush through them, you’ll just be redoing them another month or two down the road.
Take your time and get it right the first time.
I know this piece of creating a high performance office can feel overwhelming so please reach out for some help. And remember that putting this work in now will pay off with huge dividends in 2020!
